How to Calculate the ROI of Rostering Software for a Hospital or Pharmacy

When a finance director asks what rostering software will save, the honest answer starts with a question: what does your current rostering cost? Most organisations do not know, because the cost is spread across planner hours, overtime, agency fees, turnover and the occasional incident.

This guide gives you seven levers and a formula for each. Use your own figures. We deliberately do not assume numbers for you, because the credible business case is the one built from your data.

In short: The return on rostering software comes from seven places: planner time saved, less overtime, locum and agency spend, lower attrition, avoided clinical and compliance incidents, better payroll accuracy, retired licences and less management time on disputes. Estimate each with your own figures, subtract implementation and support costs, and run a pilot on a real month to check the assumptions.

Lever 1: Planner time saved

Formula: (hours per month spent on manual rostering, minus hours to review and approve) × loaded hourly cost × 12.

Do not forget who the planner is. When it is a senior pharmacist or nurse, the real cost is clinical time not spent on patients.

Lever 2: Overtime, locum and agency spend

Gaps found weeks ahead can be filled at planned rates. Gaps found on the day cost a premium.

Formula: percentage of last-minute fills avoided × average premium × number of fills.

Lever 3: Lower attrition

Fair nights, weekends and leave are among the retention drivers for scarce healthcare professionals.

Formula: improvement in attrition rate × number of staff × replacement cost, including recruitment, onboarding and locum cover while the post is vacant.

Lever 4: Clinical and compliance risk avoided

Fatigue-rule and credential breaches that never happen are incidents you do not investigate.

Formula: incidents avoided × cost per incident, including investigation time, accreditation findings and claims.

Lever 5: Payroll accuracy

When roster, attendance and payroll share one record, errors and rework fall.

Formula: errors per month × time to correct × cost per hour, plus any overpayments recovered.

Lever 6: Licence consolidation

If standalone HR, rostering, attendance or leave tools can be retired, count their annual licences, then subtract platform implementation and support cost. On an open-source foundation such as Frappe HRMS and ERPNext there is no per-seat platform licence.

Lever 7: Management time

Fewer roster disputes and leave escalations reaching managers frees management time. Estimate hours per month × cost per hour.

Build the case in four steps

  1. Baseline today. Capture planner hours, overtime and agency spend, attrition and incident data for the last three to six months.
  2. Model each lever with the formulas above, using conservative assumptions.
  3. Pilot on a real month. Generate a roster in Techseria Roster from your own staff, skills and rules and compare it with your current one, including the Gap Report and Fairness Summary.
  4. Track the outcome after go-live against the KPIs you agreed.

See the ROI framework page for the same levers in summary.

Frequently asked questions

What is the ROI of rostering software?

It depends on your own figures. The main levers are planner time saved, reduced overtime and agency spend, lower attrition, avoided compliance incidents, payroll accuracy and licence consolidation. Estimate each, then subtract implementation and support costs.

How do you calculate planner time savings?

Subtract the hours needed to review and approve from the hours spent on manual rostering each month, multiply by the loaded hourly cost and by 12.

Does Techseria Roster charge per user?

The platform foundation (Frappe, ERPNext and HRMS) is open source with no per-seat platform licence. Implementation, hosting and support are scoped to your departments, sites and rules.

How can we test the business case before committing?

Run a pilot on a real month of your data. The optimiser builds a roster and a Gap Report so you can compare it with your current roster and your assumptions.
