Why Spreadsheet Rostering Keeps Failing Hospital Pharmacies (and What to Use Instead)

Nobody chooses a spreadsheet because it is the best rostering tool. They choose it because it is already there, it is flexible, and the planner knows how to use it. For a small team that can be enough. For a hospital pharmacy or clinical department with dozens of staff, several sites and strict safety rules, it is where problems begin.

In short: A spreadsheet records a roster. It does not build one, and it cannot check the roster against your rules. That is why spreadsheet rostering takes days, depends on one or two people, and still produces gaps, fatigue breaches and unfairness. Optimisation-based rostering software builds a compliant, fair roster in one run and reports anything it cannot fill.

Problem 1: Every rule lives in someone's head

A spreadsheet will happily let you put a person on two slots, on a day of approved leave, or on a day shift straight after a night. The rules that keep patients and staff safe are held by the planner, who must remember them all, every month, under time pressure.

Problem 2: Credentials are not connected to the roster

Night certification, sterile compounding and oncology dispensing matter. In most spreadsheets they are a note in another file. When a certificate expires, nothing changes on the roster until someone notices.

Problem 3: Fairness is a guess

Without a record of who worked which nights, weekends and public holidays, the roster drifts towards the reliable and available. People notice, and unfairness is a leading reason good staff leave.

Problem 4: Shortfalls are found too late

A grid can look full and still be short of a qualified pharmacist on a particular shift. When gaps are found on the day, the only fixes are expensive: premium-rate cover and overtime.

Problem 5: Leave, attendance and payroll disagree

Leave is approved in one system, rostered in another and paid in a third. Each handover is manual, so errors creep in and someone reconciles the differences every month.

Problem 6: There is no audit trail

When a roster is questioned, a spreadsheet can only show who saved it last. It cannot show who changed which shift, when and why, or who approved the version that was published.

What to use instead

The alternative is a rostering system that treats your rules as constraints. Techseria Roster is built that way:

  • The optimisation engine builds the whole department roster in one run, and ten built-in hard rules are never broken.
  • Skills, dated credentials and seniority gate every slot, and expired credentials stop applying automatically.
  • Fairness is calculated from each person's history, with a Fairness Summary report.
  • A Gap Report shows every shortfall, with a suggested remedy, before you publish.
  • Approved HRMS leave blocks rostering automatically, and published rosters create native shift assignments that feed attendance and payroll. See HR and payroll integration.
  • An approval workflow, version history and audit log record every change.

What about switching cost?

The fear is usually data and habit. Staff, skills and shift types are imported in bulk, and planners keep full manual control, so the first roster can be generated on a real month of your data and compared with the spreadsheet before you commit.

Frequently asked questions

Is a spreadsheet ever good enough for rostering?

For a very small team with few rules it can be. Once you have multiple sites, credentials, night rest rules, leave and payroll to coordinate, the cost of manual checking and errors usually outweighs the convenience.

What is the main risk of rostering in Excel?

That a rule gets broken without anyone noticing, such as too little rest after nights or an unqualified person on a service point. A spreadsheet cannot enforce rules, only display data.

Do we need to replace our HR system to use roster software?

Techseria Roster runs on Frappe HRMS and ERPNext, so leave, shifts, attendance and payroll share one record. A full API and bulk import are available for other hospital systems. Talk to us about your landscape.

Can we try it before committing?

Yes. We can run the optimiser on a real month of your staff, skills and rules so you can compare the result with your current roster.
